How it works, in detail
The home page has this in three steps. This is the same three steps with the parts that matter to someone deciding: exactly what we need from you, exactly what happens to it, and exactly what you get back.
Step 1 · Sign up and send what you have
You create the account yourself — there is no queue and no sales call. The workspace exists from that moment, and it is where everything below happens. Payment details are taken at sign-up but nothing is charged until you press submit, so you can fill in half the form, leave, and come back.
Three ways to tell us, and you can mix them
Guided form
Seven sections — your operation, your processes, your current systems, your numbers. Plain questions. Works with zero existing documentation, and you can answer “we do not measure that” to any of them.
Files you already keep
Process docs, spreadsheets, org charts, an ERP export, a photo of the whiteboard schedule. Whatever exists already, in whatever state it is in.
Talk it through
Record yourself walking the floor and describing what happens. We transcribe it and treat it as evidence like any other input. For most people this is the fastest and the most useful.
What you can upload
| Category | Accepted formats | Per file | Why that limit |
|---|---|---|---|
| Documents | PDF, DOCX, DOC, TXT | 25 MB | Comfortably a few hundred pages. Send a link if you have something bigger. |
| Spreadsheets | XLSX, XLS, CSV | 25 MB | Far more rows than an assessment needs. If your export is larger, a filtered extract is more useful anyway. |
| Slides | PPTX | 25 MB | Existing internal decks about the operation are often the best single document you have. |
| Images | PNG, JPG/JPEG, WEBP | 25 MB | A phone photo is around 4 MB, so this is several at full resolution. |
| Audio | MP3, M4A, WAV, WEBM | 100 MB | About 90 minutes from a phone. If yours is longer, split it — we would rather have two files than a rushed recording. |
| Video | MP4 | 100 MB | A short walk-through clip. For a full plant tour, audio plus photos beats video and is a tenth the size. |
Across all of them: 60 files or 500 MB in any hour. That is a guard against a runaway sync, not a budget — if you genuinely need to send more, email us and we will take the rest directly. Every file is virus-scanned before it is stored, never after, and nothing you upload is ever served from a public link.
Example templates come with the account — a Process Documentation Template, a KPI & Process Intake Workbook, and a short guide to recording a useful walkthrough. None are required. They exist because a blank page is harder than a form.
The completeness score, and why it is not nagging
As you fill sections in, the workspace scores what it has. A section counts only when every column of a row is filled — a half-completed table scores what it is worth and not what it looks like. The total lands in a band: Indicative, Directional, Grounded, Evidence-based. That band is what the delivered report is allowed to call itself. A roadmap built on three KPI baselines is not the same product as one built on none, and we would rather say so than let the document imply a confidence it has not earned. The gap list is ordered by how many points each missing item is worth, so “what should I send next” has an arithmetic answer rather than a guilt-based one.
Step 2 · We build the roadmap
Submitting starts the clock: three to five business days. The setup fee is invoiced when your roadmap is delivered, not when you submit.
Establish the baseline
What you sent is checked for gaps and contradictions before anything is drafted. Where there is no baseline — no documented process, no clean scrap figure — building one is part of the work, not a reason to send you away.
Read them in context
Your figures interpreted against how operations like yours usually run — what is normal for your size, your sector and your mix of work. Where something rests on judgement rather than a source we can name, it is labelled as judgement rather than dressed up as data.
Rank every option
Every candidate lever costed and ranked by impact, effort and payback — including the ones we recommend against, with the reason. Sequencing is checked so nothing depends on something scheduled after it.
Nothing is delivered unchecked
Every roadmap is worked through against a fixed checklist before it goes out: does it match what you actually submitted, are the numbers realistic for an operation this size, is each recommendation something you could plausibly execute, and does it read as advice you can act on. Anything that fails is rewritten, not softened. That applies on every plan.
Step 3 · You run it, and keep running it
The roadmap lands in the workspace you already created, and you get a branded PDF that is yours permanently whatever happens afterwards. What the workspace adds is that the plan stays true after the day it was written:
- Status, owner and target date per lever, per site.
- A timeline you can drag — and our original recommendation stays visible beside your version, so you can see how far the plan has moved and decide whether that was deliberate.
- Actual dates against planned ones, and a flag when a lever is now scheduled before something it depends on.
- What you actually spent and what actually came back, so payback is measured rather than projected.
- KPI readings over time, showing whether the lever did what it was supposed to.
- Architecture and process maps you can edit as the real thing changes.
- Export to CSV and to a board-ready PowerPoint whenever someone asks for an update.
- Every recommendation linked to its evidence — your KPI, your file, a named source, or our own judgement, labelled as judgement.
Cancel whenever you like: you keep every report we delivered, and you can export everything in the workspace to CSV and PowerPoint before you go.
